Revolutionizing Visual Content Experience at Scale
Building Visual Vault – Automated Screenshot Management at AWS
Conceptualized and designed "Visual Vault" — an innovative automated system to manage and maintain 31K+ UI screenshots across AWS documentation.
Addressed a critical pain point of outdated visuals that were frustrating customers and eroding trust in technical documentation.
The Challenge
In the fast-paced world of cloud software, keeping product documentation visually accurate is extremely difficult. At AWS, we were managing over 31,000 images, with an estimated 70%+ being UI screenshots.
User research and surveys revealed growing customer frustration with outdated screenshots, which made it harder for them to follow workflows and understand product features. This created a gap between our rapidly evolving product UIs and static documentation, impacting user experience and trust.
Manual screenshot capture and updates were time-consuming, error-prone, and not scalable.
"Innovator & Project Architect
As the lead innovator, I:
- Conducted extensive research to quantify the problem and its impact on customers
- Conceptualized the full Visual Vault system, including core features and future capabilities
- Developed a comprehensive project proposal with clear business case
- Collaborated with UX designers, software engineers, and content strategists to validate feasibility
- Presented the vision to stakeholders and gained strong interest
PROJECT STAGES
1. Problem Discovery & Vision
- Quantified the scale (31K+ images, 70%+ screenshots) and customer impact
- Defined the end-to-end automated visual content lifecycle
2. Solution Design
- Designed core capabilities: automated capture, metadata tagging, change detection, and smart notifications
- Created a scalable architecture for search, filtering, and workflow integration
3. Stakeholder Alignment & Advocacy
- Partnered cross-functionally to refine the concept
- Presented a compelling business case highlighting time savings and improved customer experience
Conceptualized the idea of "Visual Vault" — a centralized, intelligent system designed to revolutionize how we handle visual content in documentation.
- Programmatically capture screenshots of priority workflows
- Store images in a central repository with rich metadata
- Enable powerful search and filtering for content producers
- Automatically detect UI changes and notify writers
- Streamline the review and update workflow
What Really Matters
Although budget and resource constraints prevented full implementation at the time, Visual Vault:
- Sparked important organization-wide conversations about the future of documentation tooling
- Highlighted the need for intelligent, automated solutions in content management
- Influenced later discussions on investing in documentation infrastructure
- Demonstrated forward-thinking innovation and user-centric problem solving
This project reinforced that identifying systemic problems and proposing bold, scalable solutions — even when immediate execution isn’t possible — can drive meaningful long-term change. It also highlighted the power of combining deep domain knowledge in technical content with creative system thinking.
